Project Context

Context & Challenge

Context

A property operation was running listings, tenant follow-up, contracts, and investor updates across spreadsheets, WhatsApp, and a generic CRM. Agents could not see which units were actually available, and finance chased payments after they were already late.

Challenge

The sales and tenancy loops shared the same assets but not the same record. A listing could be marked available while a contract sat in email. Investors asked for a portfolio view that nobody could produce without a two-day manual pull.

Constraints

The team had to keep selling during the build. Agents would not adopt a second inbox. Role access had to separate agents, operations, and investors. Payment reminders had to reuse the existing payment rails.

Discovery

We mapped listing → visit → offer → contract → occupancy → payment. The delay was not “more leads”; it was missing status at each handoff. Payment reminders and investor totals depended on the same occupancy record that sales did not trust.

Solution & Architecture

What we built and how

Solution

We built a REMS around the property as the system of record: units, parties, contracts, and a payment schedule. Agents work a live pipeline. Operations see occupancy and follow-ups. Investors get a read-only portfolio dashboard fed from the same contracts.

Architecture

Next.js and PostgreSQL with a property-centric schema, role-based queries, webhook notifications, and a reporting view for investor totals. Deployed as a standalone container with the client's payment provider connected for reminder status — not for storing card data.

Outcome

What changed

Deal closure on tracked listings accelerated because availability and follow-up lived in one queue. Payment reminders went out from the contract schedule. Investors opened a live portfolio view instead of waiting for a compiled file.
